Terms of Service

These terms govern your use of Recense (recense.ai), operated by Recense Ltd, a company registered in England and Wales. By creating an account or using the service, you agree to these terms.

1. The service

Recense is a browser-based survey data analysis tool. Core survey import, tabulation, and analysis run locally in your browser using WebAssembly. Optional features — cloud save, the hosted AI agent, and enterprise hosted compute — route specific data through our servers as described in the Privacy Policy. The service includes:

  • SPSS file import and cross-tabulation
  • AI-assisted analysis (via your own API key or our hosted proxy)
  • Local file storage (IndexedDB) and optional cloud storage (encrypted)
  • Statistical analyses, formula cells, and data export

2. Accounts

You must provide accurate information when creating an account. You are responsible for maintaining the security of your account credentials. One person or legal entity per account.

3. Free trial

New accounts receive a 7-day free trial with full access to Starter tier features. No credit card is required. At the end of the trial, you must subscribe to continue using the service.

4. Subscriptions and billing

Paid plans are billed monthly via Stripe. Prices are in GBP and exclude VAT where applicable. Subscriptions auto-renew unless cancelled. You can cancel at any time through the account settings — access continues until the end of the current billing period.

We reserve the right to change pricing with 30 days' notice. Price changes do not affect the current billing period.

5. Your data

You own your data. We claim no rights to your survey data, analysis results, or any content you create using the service.

Core tabulation and analysis are processed in your browser. If you use cloud storage, your data is encrypted client-side before upload — we cannot decrypt it.

If you use the built-in AI agent, conversation messages — and any data the agent reads while answering, including tool results that may contain respondent-level values — are proxied through our server to the AI provider. The text of your conversation is not stored by us beyond the duration of the request; per-request metadata (user, timestamp, model, token counts) is retained for billing and abuse detection. Under each provider's default API terms, inputs are not used to train models; we do not direct providers to train on your data.

5a. Data processing (GDPR)

For the limited personal data we process (account information, billing, and AI agent conversation text if opted in), Recense Ltd acts as the data controller. Our sub-processors (listed in the Privacy Policy) process data only as necessary to provide the service, under appropriate data processing agreements.

Because Recense is local-first and cloud projects or cloud datasets are encrypted client-side before upload, we do not provide remote raw-data access in the hosted product. You retain control of your survey data, while we process the encrypted storage and service metadata needed to operate optional cloud features.

We maintain appropriate technical and organisational measures to protect the personal data we do process. These are described on our Security page.

You may request access to, correction of, or deletion of your personal data at any time by contacting support@recense.ai. On account deletion, all personal data is removed within 30 days, except billing records retained for legal compliance.

6. Bring Your Own Key (BYOK)

If you use your own AI provider API keys, those keys are stored locally in your browser and sent directly to the AI provider. We never see or store your API keys.

7. Acceptable use

You agree not to:

  • Use the service for any unlawful purpose
  • Attempt to access other users' accounts or data
  • Reverse-engineer or attempt to extract the source code of the service
  • Use automated means to access the service beyond normal usage
  • Resell access to the service without our written permission

8. Availability and support

We aim to keep the service available but do not guarantee uptime. We may perform maintenance with reasonable notice where possible. Support is provided via email at support@recense.ai.

9. Limitation of liability

To the maximum extent permitted by law:

  • The service is provided "as is" without warranty of any kind
  • We are not liable for any indirect, incidental, or consequential damages
  • Our total liability is limited to the fees you have paid in the 12 months preceding the claim
  • We are not responsible for the accuracy of statistical outputs — you are responsible for validating results before making business decisions

10. Intellectual property

The Recense software, brand, and documentation are owned by Recense Ltd. Your subscription grants you a non-exclusive, non-transferable licence to use the service for its intended purpose.

11. Termination

You can close your account at any time. We may suspend or terminate accounts that violate these terms. On termination, you should export your data first — local data remains in your browser, but cloud-stored data will be deleted after 30 days.

12. Changes to these terms

We may update these terms. Material changes will be communicated by email at least 14 days before taking effect. Continued use after changes constitutes acceptance.

13. Governing law

These terms are governed by the laws of England and Wales. Disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
